What's included in a typical DMC per-delegate quote?

Ground: lodges or venues, park and conservancy fees, guiding, vehicles, internal air we contract, meet-and-greet, listed activities, and operations staffing. Air-in, visas, insurance, tips and long-haul are only in if the RFP said so. Ask for the exclusion list.

What we tell planners

A typical East Africa DMC per-delegate (or per-person) ground quote is an itemised stack, even when the agency needs one headline number. Usually in: named lodge or hotel nights on the meal plan we contracted; park, conservancy and crater fees; gorilla permits when that is the product; safari vehicles and guiding; listed activities (balloon, dhow, catamaran, crater picnic) that we have actually costed; meet-and-greet; internal light aircraft or coaches we are booking; operations staff and a 24-hour desk; and the medical-evacuation product we named. Mauritius and Seychelles quotes often wrap resort meal plans plus a contracted gala and boat day.

Usually out unless the RFP put them in: international long-haul; premium lounge; Kenya eTA / Tanzania e-visa / other visa fees (say who pays); travel insurance; personal extra drinks beyond the contracted plan; tips (we issue a guideline); spa; optional activities not on the inclusion list; excess light-aircraft luggage; and the incentive house’s own staff travel. Connectivity upgrades and broadcast AV are a specialist line, not ‘wifi included.’

Corporate travel agents should demand the exclusion column and whether prices are net or commissionable, in which currency, and until which date. Peak inventory is on request. A lump ‘all-in per delegate’ with no stack is how park fees and airstrip charters disappear until the invoice.
