Rwanda meetings work when the list is leadership, not a dealer congress. The working session sits in Kigali. Sleep in the capital. Trek or walk the next day at the earliest, and only if that chapter is actually in the brief. We do not put a gorilla morning on landing day from Europe or the US.
The Genocide Memorial is optional and never theatrical. Some clients ask; some do not. A gala the same night as a Memorial morning is something we advise against.

Constraints
Access
Road to Volcanoes (Musanze) is the standard: paved, 2.5–3 hours, we use private coaches or 4x4s with a rest stop. Nyungwe is a longer scenic drive or a domestic hop when schedules allow. Helicopter transfers can be arranged for ultra-high-end groups.

Sole international gateway; 2.5 hours by road to Volcanoes lodges

Rwanda gorilla permits, a Kenya or Tanzania savanna chapter, then Mauritius or Seychelles. Nine nights is the honest minimum. Compressing this into six nights makes the trip feel like airports.

Nairobi and the Mara first, then Kigali and a trek. Permits booked at programme approval. Eight nights is the minimum if you refuse to trek on a travel day. Reverse the order only if KGL metal is the better inbound.

Each gorilla family is typically eight visitors. A 24-person list is three families and a choreography, not one bus. That chapter is optional; the meeting stays in Kigali.
Send company, headcount, dates, whether the session stays in Kigali, and whether a Volcanoes chapter is in play on the RFP form. That is enough for a first outline. We do not publish website rates.
Tanzania, Kenya, Rwanda, Uganda and Zanzibar require a yellow fever vaccination certificate upon arrival. We collect it with passports on the rooming list — do not leave it to the airport queue.
