Should I use a DMC or incentive travel agency?

Use both when the programme is East Africa: the incentive travel agency or corporate travel agent owns the client, qualification rules and brand; the DMC owns the ground — lodges, permits, vehicles, visa matrices and the 05:10 driveway. They are not substitutes. Serengeti Experience DMC regularly operates inside an incentive house’s, corporate travel agent’s or PCO’s run-of-show.

  • Corporate travel agents still need a local DMC for permits, airstrips and medevac.
  • Brief us directly if you have no agency — you still need someone to run contest rules and tax in your jurisdiction.

How should a DMC handle the biggest risks in incentive travel?

A DMC should put inventory, weather, airstrips, visas, health, politics and reputation into an operations annex before the welcome letter — with a named 24-hour desk, contracted medevac, split-group plans, a recovery night after long-haul, and a will-not list. A partner who ‘can make anything work’ is transferring risk to the incentive house.

  • Biggest operational risks: sold-out camps/permits, socked-in airstrips, visa matrices, malaria and altitude, landing-night galas.

Handle dietary requirements and accessibility by collecting diet, mobility, CPAP and walking honesty with the rooming list — names as in the passport — early enough for the DMC to brief lodge kitchens and twin tracks. Five-star lodges can do a lot; crater picnics, dhows and gorilla trails are not hotel banquets or step-free venues. Corporate event managers should design a parallel morning for anyone who should not trek; do not sell a ‘fully accessible safari’ that is a lie.

East Africa is safe for corporate groups when the DMC writes a duty-of-care annex — named vehicles and guides, night-driving rules, contracted evacuation, boat protocols, fitness gates and a 24-hour operations desk — not a slogan about a continent. Incentive houses and corporate travel agents should treat city hotels, safari circuits, gorilla trails and island boats as four different protocols. Programmes run across this map every week.

  • We change routing when advisories require it rather than improvise through an unsafe week.
  • Mauritius summer programmes include a cyclone clause; island boats have skipper and second-vessel notes.
  • Ask to see the annex in the proposal. ‘Perfectly safe’ and ‘too dangerous’ are both unusable briefings.

Can we combine multiple countries in one MICE programme?

Yes, if you have the nights: safari then Zanzibar, Seychelles or Mauritius; gorillas then savanna; Ethiopia then lagoon. No, if you are collecting stamps. Use one DMC as operations owner, one rooming list and one visa matrix. The East Africa Tourist Visa does not include Tanzania. Do not put a gala on a travel night.

What's the best time of year for MICE events in East Africa?

There is no single best month. Migration theatre is typically July–October; gorilla dry months are kinder underfoot; Ethiopia highlands prefer October–January; Mauritius is professionally strongest May–November; Nairobi and Addis hold meetings year-round. Fix the diary, then pick the ecology — do not promise a Mara River crossing in April.

  • Crossings are a season, not a guarantee. Calving is a different southern-Serengeti product.
  • Zanzibar long rains (April–May) are a reason to stay inland or switch island.
  • City conferences run year-round; watch Addis hotel tightness around AU diaries.

Can we run MICE events during rainy season?

Yes, if you pick the right country and product. Green-season safari can be excellent. Gorilla treks run in the mud. Zanzibar’s April–May long rains, Ethiopia’s kiremt walking months and Mauritius cyclone-season outdoor galas are reasons to change the map or write a backup — not to cancel every diary. Hub-city meetings still run.

  • ‘Rainy season’ is not one East Africa switch — brief weather per destination and date.

There is no honest single MICE cost per delegate in East Africa. Cost follows season, lodge tier, internal air, park and gorilla permits, group size, and whether the incentive house is buying a camp, a gorilla hour or a Mauritius gala. Global incentive averages are not a Serengeti Experience DMC rate card. Send a headcount and a budget band; we return an itemised stack.

  • Separate ground cost from fully loaded cost (long-haul, visas, EXCO seats, charters).
  • Peak July–October safari and gorilla dry months are scarcity pricing.

A typical DMC per-delegate quote for East Africa MICE includes named lodge or hotel nights, park and conservancy fees, gorilla permits when that is the product, guiding and vehicles, listed activities, meet-and-greet, internal air or coaches the DMC is booking, operations staffing, and named medevac. Long-haul, visas, insurance, tips and optional extras are in only if the RFP said so. Corporate travel agents should demand the exclusion list.

  • Mauritius and Seychelles quotes often wrap a resort meal plan plus one contracted gala and boat day.
  • Ask net versus commissionable, currency, and validity date.
  • A lump all-in with no stack is how park fees and charters disappear until the invoice.

What are the payment terms for MICE bookings?

Payment terms are written in the contract for that programme — not as a universal website percentage. Typical rhythm: a confirmation deposit to hold lodges and permits, staged payments as suppliers invoice, and a final payment before arrival. Peak safari blocks and gorilla permits often need earlier, less flexible cash than a Nairobi board night.

  • 12–18 month peak inventory is why deposits land early.
  • Group air stays on the airline’s terms if the DMC is not ticketing it.
  • Ask deposit timetable, currency, invoicing entity, and what is refundable at each stage.

What's the cancellation policy for group bookings?

Cancellation follows the contract and the suppliers behind it — lodges, parks, gorilla permits, aircraft, boats. There is no honest one-line website policy. Peak inventory is less flexible; some permits become non-refundable once issued. Force majeure, cyclone and airstrip clauses belong in the annex. Name who holds travel insurance in the RFP.

  • Changing headcount after gorilla families are booked is how you pay for empty permits.
  • We pass through what we can negotiate; we do not hide camp rules.
  • If dates are not CEO-fixed, say so before we hold July inventory.

What technology and connectivity can we expect at remote safari venues?

Starlink has improved many Tanzania and Kenya camps. It has not turned them into convention centres. Expect email, messaging and a slide deck — not a guaranteed live global broadcast from a six-tent camp. Nairobi, Addis and Mauritius hold hybrid meetings. Ask for a connectivity note per property, not per country.

  • Bring a PDF backup of the deck; adapters still matter (UK-style vs European vs hotel-specific).
  • Broadcast-quality AV is a city or top-tier resort job.
  • If the brief is exhibition or hybrid, do not pick a crater rim.

Can we hold conferences in the Serengeti or other remote locations?

Yes, in a bush lodge meeting room of about 80–120. Four Seasons Serengeti, Meliá Serengeti and Serengeti Explorer can each sleep 150 on double occupancy (75 single). A 200-delegate plenary, exhibition or live broadcast belongs in Nairobi, Addis, Kigali, Kampala or a Mauritius resort (300+ rooms). A six-tent camp is not a conference stage.

  • Bush lodges: 150 double / 75 single sleeping; meeting rooms 80–120 — split above that.
  • Private islands and six-tent camps cannot host a convention.
  • We will refuse the mash-up rather than let IT discover it in Seronera.

Can we combine gorilla trekking and Serengeti safari in one trip?

Yes. It is a premium incentive when you have about 9–12 nights: Rwanda or Uganda first, then Serengeti or Mara, then usually an island close. Typically eight visitors per gorilla family, so 24 guests is three families. Do not compress it into six nights of airports. Tanzania needs its own visa.

  • Fitness honesty before permits; non-trek morning for anyone who should not walk the hour.
  • Peak permits 12–18 months out; no gala on a Kigali–Seronera travel day.

Protocols sit in the operations annex before the welcome letter: named vehicles and night-driving rules, lodge first aid, contracted flying-doctor or equivalent evacuation, nearest hospital, boat second-vessel notes, fitness gates for gorillas and Kilimanjaro, a per-itinerary health PDF, and a 24-hour operations desk. Tanzania, Kenya, Rwanda, Uganda and Zanzibar require a yellow fever vaccination certificate upon arrival.
