What group size works for safari versus island incentives?
Most Kenya and Tanzania bush lodges hold about 77 rooms: 150 guests on double occupancy, 75 on single. Meeting rooms there are 80–120. City and beach properties run to 300+ rooms. Intimate tented camps, gorilla permits and private islands stay small.
What we tell planners
Do not treat ‘the bush’ as one product. Intimate tented camps in Kenya and Tanzania are still 8–24 guests. Most bush lodges on this map have around 77 rooms and can sleep 150 on a double-occupancy (sharing) basis, or 75 if the list is single occupancy. Four Seasons Safari Lodge Serengeti, Meliá Serengeti Lodge and Serengeti Explorer by Elewana can each take 150 people on their own, sharing. Above 150 double — or 75 single — we split the group across two properties. Game drives still stagger; the beds are the first gate.
Meeting rooms at those bush lodges are smaller than the bedroom count: typically 80–120 people. A working session or modest plenary can sit in camp at that scale, with an honest wifi note. A three-day slide-heavy agenda, exhibition or 200-delegate conference still belongs in Arusha, Nairobi, Addis or on the coast — even if everyone could sleep at Four Seasons Serengeti. If the meeting exceeds 80–120, we split the working group or move the agenda to a city or beach hotel.
Uganda and Rwanda gorilla programmes are capped by permit and family size (typically eight visitors per family). A 24-person gorilla incentive is three families and a choreography, not one trekking bus. Ethiopia splits the same way as safari versus city: Hyatt, Sheraton Addis and Ethiopian Skylight hold a conference; Simien walking is leadership-scale.
City and beach destinations — Nairobi, Arusha, Zanzibar, Mauritius, inner Seychelles — have hotels, resorts and lodges with up to 300+ rooms. Mauritius is usually the Indian Ocean answer for large galas. Private islands — Mnemba, North Island, Fregate — cannot take a 150-person sharing list. We will say no when the photograph and the rooming list disagree.
What to brief next
- — Kenya/Tanzania bush lodges: ~77 rooms, 150 double / 75 single; split above that.
- — Bush meeting rooms: 80–120. Larger plenary goes to city or beach (300+ rooms).
- — Intimate camps, gorilla families and private islands stay small — that is a different product.
