Kenya board meeting and Maasai Mara

Day by day

An operable outline, not a locked rooming list. Air sectors, permits and stays are contracted against the brief. Dates and costs sit on the proposal — not on this page.

1. 

   Day 1

   Arrive Nairobi

   Meet-and-greet at Jomo Kenyatta. Transfer to Karen. Light briefing only — long-haul groups do not do a city loop on landing night.

   Accommodation

   Hemingways NairobiKaren house for boards of about 8–16. Villa Rosa Kempinski or JW Marriott Nairobi if the list needs a city tower and more rooms.

   Logistics

   JKIA (NBO) to Karen typically 45–90 minutes. Fast-track where contracted. Luggage tagged to the house, not left on a kerb.

   Meals

   Dinner at the house. No welcome gala.

   Planner note

   US, Canada and Latin America lists do not add a Wilson hop on night one.

   Activities

   • — Airport meet-and-greet and vehicle control
   • — Check-in, hydrate, unpack
   • — 15-minute operations briefing — not a cocktail speech

2. 

   Day 2

   Board morning, Wilson afternoon

   Closed session with AV that works. Afternoon scheduled or private flight to a Mara conservancy. Sundowner on arrival. Working dinner only if the brief still needs it.

   Accommodation

   Angama MaraAngama Mara, Mara North or Olare Motorogi peer. Split camps above about 16 rooms.

   Logistics

   Road to Wilson (WIL) after the session. Scheduled SafariLink/AirKenya or a private Cessna/Cessna Caravan. Flight about 45–60 minutes. Conservancy landing, then a short game-drive transfer.

   Meals

   Breakfast and working lunch in Nairobi. Sundowner and dinner at camp.

   Planner note

   Do not schedule a balloon the same afternoon as the hop. Keep the board room until the bags are in the vehicles.

   Activities

   • — Closed board session — agenda, AV and dietary already contracted
   • — Packed lunch or a sit-down at the house before Wilson
   • — Light-aircraft hop to the Mara
   • — Conservancy arrival, sundowner, unpack

3. 

   Day 3

   Maasai Mara

   A full conservancy day. Game viewing, optional balloon for a VIP split, community visit only if the brief asks. Evening free of slides.

   Accommodation

   Angama MaraSame camp as night two.

   Logistics

   Dawn departure from camp. Balloon baskets booked as whole baskets, not spare seats. Night drives only where the conservancy permit allows.

   Meals

   All meals at camp. Bush dinner if the wind and the list allow — not on a travel night.

   Planner note

   Peak July–October still prefers a conservancy over the main-reserve car park.

   Activities

   • — Dawn game drive on conservancy roads
   • — Optional hot-air balloon and champagne breakfast for a VIP split
   • — Siesta or spa — no plenary
   • — Afternoon drive and sundowner
   • — Optional Maasai community visit if it is on the brief, not as filler

4. 

   Day 4

   Second Mara day

   Another game-viewing chapter so the trip is not a one-drive photograph. Walking where the camp and permit allow. Awards or a quiet dinner — not a three-hour show.

   Accommodation

   Angama MaraSame camp.

   Logistics

   No airstrip movement. Walking only with an armed guide on conservancy land. Packing can wait until after the afternoon drive.

   Meals

   All meals at camp.

   Planner note

   If the list is 20-plus, a second camp on the same conservancy is cleaner than stretching one mess tent.

   Activities

   • — Morning drive or guided walk
   • — Optional second balloon morning if day three was weather-held
   • — Afternoon drive
   • — Closed dinner — speeches only if the chair insists, and short

5. 

   Day 5

   Wilson to JKIA and depart

   Fly Wilson to Nairobi for international metal. Same-day connections only with a real buffer. US, Canada and Latin America groups should hold a fifth Nairobi night.

   Logistics

   Camp to airstrip after breakfast. Wilson to JKIA by road — build 2.5–4 hours door to door including check-in. Private charter can land closer to international if the metal and the slot allow.

   Meals

   Breakfast at camp. Lunch only if the connection forces a Nairobi hold.

   Planner note

   Do not promise a same-day JFK or GRU connection off a 10:00 Mara wheels-up.

   Activities

   • — Breakfast and check-out
   • — Light-aircraft to Wilson
   • — International departure, or transfer to Hemingways if a buffer night is booked
