The Great Migration in Kenya and Tanzania

The Great Migration is the seasonal movement of wildebeest and zebra across the Mara–Serengeti ecosystem. It happens only in Kenya and Tanzania. No other continent has an equivalent wildlife theatre for incentive travel.

The planner benefit is a photograph and a memory that cannot be bought in South Africa, India or Europe. Peak months typically need 12–18 months. River crossings are never guaranteed. A destination management company still positions the group where the herds actually are.

Mountain gorilla trekking in Rwanda and Uganda

An hour with mountain gorillas in the Virunga forests is not a game drive. Permits are numbered, timed and fitness-dependent. Rwanda and Uganda are the countries where a corporate incentive or executive retreat can include this encounter at an operable standard.

The planner benefit is a once-in-a-lifetime centrepiece for EXCO, top-tier qualifiers and small high-value groups. Large groups are split by gorilla family — typically eight visitors per family — not loaded onto one trail.

Mount Kilimanjaro and Ngorongoro Crater

Mount Kilimanjaro is Africa’s highest free-standing mountain: a walk-up from Moshi to 5,895 m. Next door, Ngorongoro Crater is a UNESCO caldera with the highest wildlife density most guests will ever see. Both sit on Tanzania’s northern circuit with the Serengeti.

The planner benefit is an adventure track and a wildlife amphitheatre on the same country programme — not a Swiss Alp plus a zoo, and not a replica available in another incentive region.

Safari, then the Indian Ocean: Zanzibar, Mauritius and Seychelles

A Mara or Serengeti finish into Zanzibar, Mauritius or Seychelles is a recovery arc you cannot assemble from a European city break plus a Caribbean island. Spice harbours, granite inner islands, coco-de-mer and lagoon banquet rooms are not interchangeable with Phuket or the Maldives.

Where does the Great Migration happen, and can we include it on a corporate incentive?

The Great Migration happens only in the Mara–Serengeti ecosystem of Kenya and Tanzania. Yes, it is East Africa’s most requested incentive theatre. Peak viewing typically needs 12–18 months. River crossings are never guaranteed. A DMC positions the group where the herds actually are and splits convoys so 40 guests are not 12 cars on one bank.

Yes. Rwanda and Uganda are the destinations where mountain gorilla trekking is operable for corporate incentives and executive retreats. Permits are numbered and timed. Why finish an East Africa safari in Zanzibar, Mauritius or Seychelles?

Because the Indian Ocean close is a recovery and gala stage you cannot copy by adding a Caribbean island to a European city break. Zanzibar is the classic safari-and-sand finale after Tanzania. How do you design an incentive programme that actually motivates?

Publish the rules before the contest year: who is eligible, what counts, stack-rank versus threshold versus hybrid, and whether a guest is included. Travel motivates when it is scarce and hard to buy independently — a President’s Club of roughly the top 8–12% in the Serengeti or Volcanoes, or a larger Mauritius gala for a volume band. Do not turn the reward into a working meeting or add non-qualifiers to fill a lodge.

How do you measure the ROI of an incentive travel programme?

Set KPIs and a baseline before you announce the destination. Compare qualifiers with a control group (eligible non-qualifiers or last year’s cohort). Track incremental profit, quota and mix, retention versus replacement cost, and cost per qualifier. Soft measures — eNPS, trip-versus-cash, whether they would qualify again — belong at 90 days. Industry research (Incentive Research Foundation) finds most owners still measure satisfaction, not profit; do not invent a safari case study to fill the gap.

Run a 48-hour pulse (highlight, logistics friction, pace, safety, trip versus cash, NPS, one thing never to repeat) and a 90-day follow-up (still talking about it, fairness, next-year qualification intent, employer NPS). Do not treat this like a banquet comment card. Segment qualifiers, guests and travelling staff, and tag answers to the night and destination.

How should we structure qualification criteria and tiers for an East Africa incentive?

Use stack-rank when the budget must not move, threshold when you want an open motivational end, or a hybrid with a floor and a cap. Then cap headcount to the product: 8–24 for intimate tented camps, gorilla families and private islands; up to 150 double occupancy (75 single) per Kenya or Tanzania bush lodge; 80–120 in that lodge’s meeting room; 300+ rooms in city and beach hotels. Above 150 sharing or 75 single, split properties. A 24-person gorilla morning is three families, not one bus.

  • Publish the metric, guest policy and non-sales cap before Q1.
  • Tier destinations: Club can be one Serengeti lodge of 150 sharing; Circle = Mauritius or city gala when you pass that.

All-inclusive vs bespoke: which model works best for sales rewards?

All-inclusive buys budget predictability on a Mauritius or inner-Seychelles resort night. Bespoke buys the safari, gorilla and specialist sequence East Africa is actually for. Most sales rewards here should be named lodges and itemised ground — with an optional all-in wrapper on the island finale — not a Caribbean wristband stretched across the Serengeti.

  • Ask for an itemised cost stack even when finance wants one headline number.
  • Hybrid is common: Tanzania or Kenya named-lodge, then Mauritius on a resort package.
  • Do not flatten Migration positioning and balloon concessions into a buffet package.

How do you position East Africa against the Caribbean or Europe as an incentive destination?

How do you manage group air, visas and documentation for multi-origin corporate groups?

Put nationality on the rooming list and issue a dated visa matrix for every country actually entered. Kenya eTA, Tanzania e-visa (Zanzibar is Tanzania), Rwanda/Uganda entry, Ethiopia e-Visa, plus Seychelles and Mauritius arrival rules. The East Africa Tourist Visa can cover Kenya, Uganda and Rwanda — not Tanzania. Tanzania, Kenya, Rwanda, Uganda and Zanzibar require a yellow fever certificate upon arrival. Non-resident visitors to Zanzibar must also buy ZIC inbound travel insurance at https://inbound.visitzanzibar.go.tz/ before travel. Design arrival windows into NBO, JRO, ADD, SEZ or MRU and never put a gala on landing night.

When should we use a DMC versus managing ground logistics ourselves for a congress in East Africa?

Self-manage when one city hotel, one banquet team and a simple nationality mix will do. Hire a DMC when visas, multi-origin meet-and-greet, coaches, accompanying programmes, off-site days or honesty about venue scale enter the brief. Plenary belongs in Nairobi, Addis, Kigali, Kampala or Mauritius — not in a tented camp.

  • Keep the PCO for programme and speakers; use the DMC for ground truth and the 24-hour desk.
  • A ‘safari afternoon’ for 500 delegates is usually a no — we will say so.
  • If failure is a missed immigration rule or a stranded spouse programme, do not self-manage from a European desk.

How do you integrate local partners, venues and suppliers for large medical or scientific conferences?

Contract venues, AV, coaches, security and accompanying programmes through one DMC desk. Use Nairobi, Addis, Kigali, Kampala or Mauritius banquet inventory — not a crater rim. Named hospitals or universities can support optional visits and protocol. We are not your CME accreditor; credit hours stay with the society.

  • Watch AU/UNECA hotel tightness in Addis and traffic if you bolt on a half-day Mara from Nairobi.
  • Mauritius needs a cyclone indoor backup in the annex for summer dates.

What is the difference between an executive retreat and a leadership offsite?

A retreat is typically 8–24 EXCO, distance from the office, and at most one peak experience (gorillas, conservancy, Simien, a Seychelles island that fits). An offsite is a working agenda with AV — Nairobi, Addis, Kigali, Kampala or a Mauritius meeting wing. Do not book Volcanoes National Park for three days of regional reviews, or a ballroom for a board that needed silence.

  • If more than half the hours are slides, use meetings inventory.
  • Kenya can do board morning and Mara afternoon only if you protect the agenda.
  • Wifi in camp is for a deck, not always a global town hall.

How do we get budget approval for an international incentive trip?

Lead with a one-page business case (quota, retention, channel thank-you) and a fully loaded cost — long-haul, internal air, permits, visas, medevac — not a moodboard. Phased approval works: headcount cap and destination shortlist first; named inventory second. Give procurement a scorecard and a go/no-go on passport readiness versus 12–18 month peak inventory.

  • Finance owns the tax treatment of the trip; the DMC owns the ground truth.
  • A ‘cheap’ safari that omits Wilson charters is not cheap.
  • If the CEO’s date is immovable in July, that is a scarcity conversation, not a surprise.

What should we include in an incentive travel RFP?

Dates and flexibility, qualifier plus guest count, origin cities and air scope, nationality mix, qualification model, destination shortlist and must-have experiences, will-nots, duty of care, budget band, and whether you need itemised ground or one commercial number. Ask for a visa matrix and a statement of what the DMC will refuse. A one-page template beats a 40-page vision PDF with no headcount.

Which fields should never be skipped on a corporate event RFP?

Event type, agenda shape, headcount by day (including accompanying persons), nationality mix, hybrid/AV standard, venue honesty (city versus bush), airport codes and arrival windows, and what is in commercial scope. Skipping these is how Nairobi traffic, a Mauritius cyclone or a live town hall from a six-tent camp becomes a surprise.

  • Name whether the CEO keynote date is fixed before you write ‘flexible dates.’
  • Do not write ‘safari if possible’ on a 400-delegate medical congress.
  • Put weather, political and medevac clauses in the RFP, not the post-mortem.

How should planners evaluate DMC proposals?

Use a scorecard: destination fit and inventory honesty, named operations and a 24-hour desk, duty of care, commercial itemisation, programme-to-headcount match, references/associations, and whether they wrote will-nots. SITE research among planners consistently ranks local expertise and relationships above technology or scale. A lion on the cover is not a criterion.

  • Red flags: lump sum with no stack, promised crossings, unnamed boat vendors, eight countries in six nights.
  • Green flags: constraint paragraph, split-family plan, dated visa notes, sample ops annex.
  • Score every bid the same way so procurement can audit the award.

What go/no-go questions decide whether to award an event partner?

Award only if they can name the operations lead, the 24-hour desk, the contracted medevac path, the inventory they can actually hold, and what they will refuse. If they will ‘make it work’ for a landing-night gala or a 200-person camp, that is a no-go. Tie-break on who already operates the scarce thing your diary needs.

A destination management company (DMC) is a local expert that handles all the ground-level logistics of an event in a specific destination — venues, suppliers, transport, activities, permits, and on-site coordination. When you're delivering an event somewhere unfamiliar, a DMC provides the local knowledge and relationships that make the difference between a smooth event and an avoidable problem.

What destinations do you provide DMC services in?

What does your destination management service include?

Local venue sourcing and management, supplier coordination, transport and transfers, activity and experience planning, permit and regulatory management, on-site staffing, and delegate support throughout. We handle the destination so you can focus on the event itself. Everything is managed through us as a single point of contact.

Why use a DMC rather than organising everything ourselves?

Local knowledge, established relationships, and accountability. A DMC knows which suppliers are reliable, which venues have hidden problems, which permits take six weeks to obtain, and which shortcuts aren't worth taking. Can we run MICE events during rainy season?

Yes — if you pick the right country and product. Green-season safari can be excellent. Zanzibar long rains, Ethiopia kiremt and Mauritius cyclone months are reasons to change the map, not to cancel every diary. Write the weather clause in the annex.

What does a MICE programme cost per delegate in East Africa?

There is no honest single per-delegate price on this map. Cost follows season, lodge tier, internal air, permits, group size and whether you are buying a camp, a gorilla hour or a Mauritius gala. We quote against a brief — we do not publish a fake number.

What's included in a typical DMC per-delegate quote?

Ground: lodges or venues, park and conservancy fees, guiding, vehicles, internal air we contract, meet-and-greet, listed activities, and operations staffing. Air-in, visas, insurance, tips and long-haul are only in if the RFP said so. Ask for the exclusion list.

What are the payment terms for MICE bookings?

Terms are written in the contract for that programme. Typical rhythm: a confirmation deposit to hold lodges and permits, staged payments as suppliers invoice, and a final payment before arrival. Peak safari and gorilla permits often follow stricter supplier rules than a city hotel.

What's the cancellation policy for group bookings?

Cancellation follows the contract and the suppliers behind it — lodges, parks, gorilla permits, aircraft, boats. Peak inventory is less flexible. Force majeure, cyclone and airstrip clauses belong in the annex. We will not invent a one-line website policy that contradicts a camp.

Will the wifi hold a Zoom, and can we run AV in camp?

Nairobi, Addis and Mauritius resorts are in a different class from a six-tent camp or a Simien lodge. We test, we write the limitation down, and we do not let IT find out on site.

When to use a DMC vs manage ground logistics yourself for a congress in East Africa

Self-manage when one city hotel, one banquet team and a guest list that already knows Nairobi or Mauritius will do. Use a DMC when visas, coaches, accompanying programmes, airlifts or honesty about venue scale enter the brief.
