Managing group air, visas, and documentation for multi-origin corporate groups

What we tell planners

Multi-origin means you are running an air programme, not a single charter from one city. Decide early: company-contracted group air from a hub, individual tickets on a fare class with a named arrival window, or a hybrid (US/Europe group, Africa and India on individual). Build a recovery night after long-haul into NBO, JRO, ADD, SEZ or MRU. Kigali and Entebbe are gorilla gateways, not always the long-haul start. We will not put an awards dinner on the night the last long-haul lands.

Visas are a matrix, not a PDF from last year. Kenya’s eTA is still required for many long-haul passports even when African passports are visa-free. Tanzania (including Zanzibar) is always its own visa or e-visa — the East Africa Tourist Visa that can cover Kenya, Uganda and Rwanda does not include Tanzania. Ethiopia is typically e-Visa or visa on arrival at ADD for eligible nationalities. Mauritius and Seychelles are visa-free or visa-on-arrival for many source markets and still belong on the matrix. Yellow fever certificates depend on routing and nationality, especially into Uganda and when arriving from transmission countries.

Documentation we collect with the rooming list: passport nationality and expiry, names as in the machine-readable zone, emergency contact, dietary, mobility, fitness honesty for gorilla or Kilimanjaro or Simien, and who is paying visa fees. Incentive houses that send a first-name list get a delay, not a heroic save at Kilimanjaro Immigration. Portals change; our brief is dated.

Internal air (Wilson to the Mara, Arusha or Seronera, Kigali road or helicopter to Volcanoes, ADD–Lalibela, inter-island Seychelles) is part of the same ops picture as the long-haul. Luggage allowances on light aircraft are not the same as the widebody. Brief that in the same pack as the eTA, or someone will bring a branded cooler we then leave in Arusha.
