How to get budget approval for an international incentive trip
Lead with the business case and a fully loaded cost — air, visas, internal flights, medevac — not a moodboard. Give procurement a scorecard and a destination that matches headcount.
What we tell planners
Boards do not approve a Migration photograph. They approve a contest that is supposed to move quota, retain people who are expensive to replace, or thank a channel. Write that in one page: eligible population, expected qualifier count, rules already published or to be published, what you measured last year, and why travel rather than cash (status, social proof, tax treatment in your jurisdiction — your finance team owns the tax line, not the DMC).
Show fully loaded cost, not the lodge rate. Long-haul, internal light aircraft, park and conservancy fees, gorilla permits, visas, insurance, medevac, staff ratios, accompanying guests, and the opportunity cost of EXCO days on the road. A ‘cheap’ safari that omits Wilson charters is not cheap. A Mauritius all-in that omits the gala tent and the cyclone backup is not complete. Phased approval works: destination shortlist and headcount cap first; named inventory and operations annex second.
Give procurement a way to say yes: three comparable proposals or a reason you are sole-sourcing a DMC (inventory relationships, duty of care, SITE/TATO/KATO standing), a scorecard (see our DMC evaluation note), and a go/no-go on passport readiness and diary versus 12–18 month peak inventory. If the CEO’s date is immovable in July, say so; that is a Mara/Serengeti price and scarcity conversation, not a surprise.
What delays approval: a moodboard before a headcount; promising 80 people the same crater picnic; hiding that East Africa is not a weekend Caribbean hop from the US Midwest. What speeds it: a control-group ROI sketch, a map of hubs (NBO, JRO, ADD, SEZ, MRU), and a DMC who will write the constraints in the same email as the poetry.
