When to use a DMC vs manage ground logistics yourself for a congress in East Africa

Self-manage when one city hotel, one banquet team and a guest list that already knows Nairobi or Mauritius will do. Use a DMC when visas, coaches, accompanying programmes, airlifts or honesty about venue scale enter the brief.

What we tell planners

A congress is not a safari. Plenary belongs in Nairobi, Addis Ababa, Kigali, Kampala or a Mauritius resort with a real banquet and AV bench — not in a tented camp. If you already hold a corporate rate at a Nairobi or Addis five-star, the agenda is slides and dinners in-house, and every delegate is a single nationality with visas done, a strong PCO can run a lot of the room. That is the honest self-manage case.

Use a DMC when the programme leaves the ballroom: airport meet-and-greet for multi-origin flights, coach plans that survive Nairobi or Addis traffic, accompanying-person programmes, a one-day Mara, Amboseli or Bishoftu add-on, medical-evacuation notes, or a Mauritius cyclone clause. Use a DMC when the rooming list is twenty nationalities and the visa matrix will otherwise be a shared spreadsheet of folklore. Use a DMC when you need someone who will say no to a 500-delegate ‘safari afternoon’ that is actually a parking-lot of minibuses.

Agencies often keep strategy, branding and speaker management and still want a ground partner. That is normal. We operate inside someone else’s run-of-show. What we will not do is pretend that contracting eight independent boat and coach vendors from a European desk is cheaper once you count the 02:00 phone call when an Addis–Lalibela hop moves.

Decision rule: if failure is a bad coffee break, you might self-manage. If failure is a missed immigration rule, a stranded accompanying programme, or a venue that cannot actually hold the exhibition, hire the DMC. Send the headcount, dates, venue shortlist and whether this is association, corporate or hybrid medical. We will tell you if you are over-buying us.
