What we tell planners

The form asks for company, contact, destinations, trip type (meeting, incentive, corporate event, conference, executive retreat, multi-country), group size, dates and a brief. That is enough for a first outline. Incentive houses and corporate travel agents who already have a formal RFP should attach headcount, origin cities, nationality mix, qualification model, must-have experiences, air-in versus air-out, and a budget band.

What speeds a usable proposal: a cap on guests, whether a spouse is included, fitness constraints, dietary, and whether plenary is in or out of scope. What slows it: ‘approximately 100–250,’ no dates, and a moodboard with no destination shortlist. Peak safari, gorilla permits and private islands still want 12–18 months. City meetings can often move faster.

We reply with constraints as well as poetry: itemised ground, visa matrix notes, a weather/political clause, and what we will not do. Use the incentive RFP template and corporate event checklist if you are going to procurement.
