Executive retreat vs leadership offsite: what’s the difference and when to use each?

What we tell planners

Language is sloppy in RFPs. ‘Retreat,’ ‘offsite,’ ‘advance’ and ‘leadership meeting’ get used for the same diary. We split them. An executive retreat is a small group — typically 8–24 — that needs distance from the office, a table that can hold a hard conversation, and at most one peak East Africa experience (gorilla hour, conservancy walking, Simien, a Seychelles island that fits). Mornings can work; afternoons should go outside; day two should not be a second plenary. Wifi is good enough for a deck, not always for a global town hall.

A leadership offsite (or corporate meeting) is a working agenda: strategy slides, breakouts, a facilitator, AV, maybe a hybrid join from HQ. That product belongs in Nairobi, Kigali, Kampala, Addis, a Mauritius resort meeting wing, or Park Hyatt Stone Town — not in a six-tent camp. Kenya is efficient because Wilson is twenty minutes from the hotel: board morning, Mara afternoon only if you protect the agenda. Mauritius holds the larger leadership group that is really a meeting with a lagoon.

When to use a retreat: succession, a merger integration of a dozen people, a board that is tired of hotels, a founder and EXCO who have earned gorillas or a private island. When to use an offsite: annual operating plan, a 40-person leadership team, anything with exhibition-lite or broadcast. When to refuse the mash-up: three days of regional reviews in Volcanoes National Park, or a ‘retreat’ of 80 at a crater picnic.

Brief the actual work. If more than half the hours are slides, we will steer you to meetings inventory. If the work is one decision and the rest is trust, we will steer you to retreats — Rwanda, a Mara conservancy, Bishoftu, inner Seychelles — and we will still write the connectivity note so IT is not surprised.
