Day by day

An operable outline, not a locked rooming list. Air sectors, permits and stays are contracted against the brief. Dates and costs sit on the proposal — not on this page.

1. 

   Day 1

   Arrive Kilimanjaro · Arusha

   JRO meet-and-greet. Transfer to a northern-circuit lodge. Light briefing only — long-haul groups do not descend the crater wall or fly to the Serengeti on landing night.

   Accommodation

   Legendary LodgeLegendary Lodge for a garden-table arrival. Gran Meliá Arusha if the list wants a city tower, spa and Mount Meru view before the board.

   Logistics

   JRO to Arusha typically 45–75 minutes. Fast-track where contracted. Luggage tagged to the lodge, not left on a kerb.

   Meals

   Dinner at the lodge. No welcome gala.

   Planner note

   US, Canada and Latin America lists need this night before any board or airstrip hop.

2. 

   Day 2

   Board morning, Fort Ikoma afternoon

   Closed session with AV that works — this is why the night was in Arusha, not Mapito. After lunch, light aircraft to Fort Ikoma Airstrip and a camp transfer. Sundowner on arrival. Working dinner only if the chair still needs it.

   Accommodation

   Logistics

   Road to Arusha Airport (ARK) after the session. Scheduled or private Cessna/Caravan to Fort Ikoma Airstrip — about 1–1.5 hours. Camp transfer included. Seronera (SEU) is the backup strip if weather or slots demand it.

   Meals

   Breakfast and working lunch in Arusha. Sundowner and dinner at camp.

   Planner note

   Do not schedule a balloon the same afternoon as the hop. Mapito has no formal meeting suite — the slides belong in Arusha.

3. 

   Day 3

   Western Serengeti

   A full private game-drive day on Mapito’s Land Cruisers. The camp sits near Fort Ikoma in the western migration corridor — wildebeest and zebra herds typically pass May–July. Evening free of slides.

   Logistics

   Unlimited private game drives are included in Mapito’s all-inclusive rate. Balloon baskets booked as whole baskets, not spare seats. Night drives are extra and permit-dependent.

   All meals and beverages at camp per the all-inclusive contract.

   Planner note

   May–July is the migration-corridor sweet spot. Year-round wildlife is still strong — we write the season note into the proposal.

4. 

   Day 4

   Second safari day · Ikoma culture

   Another game-drive chapter so the trip is not a one-drive photograph. Optional visit to Robanda Village for Ikoma artisan workshops — canvas, beadwork, cooking or drumming — only if the brief asks for culture, not as filler.

   Logistics

   Walking safaris only where the guide and park rules allow. Village visits are contracted with the camp, not improvised on the road.

   Meals

   All meals at camp. Boma dinner beneath the Serengeti sky.

   Private bush dining is extra unless the proposal includes it for the leadership dinner.

5. 

   Day 5

   Leadership table · stargazing

   The working-and-wildlife chapter Mapito is built for: a closed EXCO session in the villa dining room or a tented-suite cluster, then an unhurried afternoon. Retractable roofs and in-room telescopes are the evening — not a three-hour awards show.

   Accommodation

   Logistics

   Wifi is written honestly in the ops annex — this is a leadership retreat, not a Discovery Centre plenary. Butler service handles the room set-up.

   Meals

   All meals at camp. Villa private dining if contracted.

   Planner note

   Speeches only if the chair insists, and short. No gala on the night before the airstrip.

6. 

   Day 6

   Fly out · Arusha (base programme)

   Breakfast and check-out. Light aircraft Fort Ikoma or Seronera to ARK. Same-day JRO international only with a real buffer. Long-haul lists should hold a sixth Arusha night. Groups taking the optional Zanzibar extension fly ZNZ instead — see Days 8–11 and skip Days 6–7.

   Accommodation

   Legendary LodgeLegendary Lodge or Gran Meliá if a buffer night is booked. Otherwise day rooms or direct JRO transfer.

   Logistics

   Camp to airstrip after breakfast. ARK to JRO about 45–75 minutes by road. Build 3–4 hours door to door including check-in for international metal. Extension routing: Fort Ikoma or Seronera to ZNZ — sometimes via ARK — then 60–90 minutes to Kilindi.

   Meals

   Breakfast at camp. Lunch only if the connection forces an Arusha hold.

   Planner note

   Do not promise a same-day JFK or GRU connection off a 10:00 Fort Ikoma wheels-up. Extension groups: no gala on Kilindi arrival night.

7. 

   Day 7

   Depart Kilimanjaro (base programme)

   International departures from JRO after the buffer night. Medical evacuation and park-fee lines sit in the annex — they are not hidden in the camp rate.

   Arusha to JRO 45–75 minutes. Staggered departures by flight wave.

   Meals

   Breakfast at lodge.

   Planner note

   Marriott Bonvoy eligibility is a travel-policy line — commercial is still through the DMC, not this page. Skip this day if taking the Kilindi extension.

8. 

   Day 8 (optional · Zanzibar)

   Fly Zanzibar · Kilindi arrival

   After Mapito check-out, light aircraft to ZNZ. Transfer to Kilindi on the north-west coast. Swim, spa, quiet seafood dinner — not a gala on the same day as the Serengeti airstrip. The extension replaces base Days 6–7.

   Accommodation

   Kilindi ZanzibarKilindi Zanzibar — fifteen pavilion suites with private plunge pools and dedicated butlers. Near buy-out for 8–16 leadership guests.

   Logistics

   Fort Ikoma or Seronera to ZNZ, routing via ARK if slots demand it. Kilindi transfer about 60–90 minutes. Tide plan in the ops annex for any boat activity tomorrow.

   Meals

   Breakfast at camp. Light lunch en route or at Kilindi. Quiet dinner at the house.

   Planner note

   Three Kilindi nights is the professional minimum after safari. Park Hyatt Stone Town is the substitute if the brief wants UNESCO character before the coast.

9. 

   Day 9 (optional · Zanzibar)

   Kilindi reef and dhow

   A still Indian Ocean day. House reef snorkel or a private dhow when the tide and wind allow. Spa grid for anyone who has had enough of Land Cruisers. No slides.

   Accommodation

   Logistics

   Boats exclusive-use where contracted. Count back on board. North-west coast is more tide-friendly than the east-coast brochure suggests — we still write the tide note.

   Meals

   All meals at Kilindi.

   Planner note

   Mnemba atoll access is a boat morning from the north-west — not an Mnemba Island lodge buy-out unless the list is about twelve.

10. 

    Day 10 (optional · Zanzibar)

    Spice or Stone Town morning

    Spice plantation inland or a half-day Stone Town walk with modest dress — not a six-hour heat march stacked on a dhow. Afternoon back at Kilindi for a closing dinner that is not an awards gala.

    Logistics

    Spice farms need an early start. Stone Town is about 60–90 minutes each way — we do not stack spice, town and reef on one day.

    Meals

    Breakfast at Kilindi. Lunch in the field or Stone Town. Dinner at Kilindi.

    Do not put a white-party or dealer gala at Kilindi — The Residence and Zuri are that product.

11. 

    Day 11 (optional · Zanzibar)

    Depart Zanzibar

    A still morning. Transfer to ZNZ. International metal or a regional hop to DAR or NBO for the long-haul. US and Latin America lists often need a tenth night — contract it at proposal.

    Logistics

    Kilindi to ZNZ about 60–90 minutes. Fast-track where contracted. Some lists connect ZNZ–JRO for homeward metal.

    Meals

    Breakfast. Lunch only if the flight is evening.

    Planner note

    Safari-and-sand in one Tanzania story — Mapito buy-out, Kilindi recovery, no invented nightly rates.

The money shot of a Zanzibar incentive: a private dhow or catamaran at the hour the light goes copper, with a safety skipper and a second boat if the group is large.

Mnemba atoll reef morning

The reef off the north-east — turtles, coral, and water that resets a safari group. Lodge buy-out on Mnemba Island for twelve; atoll access more broadly.

Deep sea fishing

Charter sport fishing off Zanzibar — opt-in, licensed skipper, catch-and-release where the brief and local rules ask for it. Not the whole group, and not a guaranteed marlin.

Spice tour

A private spice farm — clove, cinnamon, vanilla, tasting — without the gauntlet of carved-spoon stalls. The scent is the product. The shop is optional and at the end, if at all.

Stone Town cultural tour

UNESCO Stone Town on foot: palaces, the Old Fort, Darajani as colour not a shopping brief, rooftop coffee. Freddie Mercury House only if the group asks. Heat is real; we keep it to two and a half hours.
